Sales reporting for installers

Sales numbers you can trust, from the systems you already have.

Vanzio turns your CRM export into a live view of your sales: how you're doing against target, what each lead supplier really costs per sale, and a league your team checks on their phones. No new software, and no more Friday afternoons in a spreadsheet.

Most installers can't see their own numbers

The CRM, the dialler and the diary don't talk to each other, so the figures that matter get tallied by hand, late, and slightly wrong.

1

Weekly numbers by hand

Someone spends hours every week pulling sales, surveys and lead counts together, and nobody fully trusts the result.

2

Lead suppliers on gut feel

You pay three or four suppliers, and "which one's worth it?" gets answered with a feeling instead of a cost per sale.

3

Problems found too late

Leads left for hours, surveys with no outcome, duplicates you paid for twice. By the time anyone spots them, the month's gone.

What could your numbers be hiding?

A rough guide to two leaks most installers have: leads that wait too long for a first call, and duplicate leads nobody claims back. Nothing you enter leaves this page.

Out of every 100 leads, how many get a survey booked.
Not sure? Leave it at 40% for now.
The same customer sent twice, often by two different suppliers.
£0
a year, roughly, from these two leaks: 0% of the yearly sales these figures imply
Duplicate leads you could claim back£0
Extra appointments a month if half your slower leads were called within the hour0
Extra sales a month from those appointments0
Sales value from faster calls, a year£0

An estimate, not a promise. The range assumes leads rung within an hour book 15% to 30% more often than slower ones. That's the pattern I saw running an installer's sales floor, not an industry figure, and yours could be higher or lower. Some suppliers don't credit duplicates, or only within a time limit. A data review works out your real figures from your own records.

What you get

Built on your own data, in your own Google account, and sized to your team.

Where you stand, and where you're heading

Sales and revenue against target, a plain-English summary of what changed since last week, and a forecast for the month ahead, with sliders showing what it would take to close the gap.

  • Week, month, quarter and year views, by division or the whole business
  • A profile for every rep: form, close rate and what they sell
  • Call centre ranked fairly on hours worked, where you record them
  • A one-page report for the monthly meeting

What every lead supplier really costs

Each supplier's leads followed all the way to the sale, so you can see the cost per sale and what every pound returns, not just the cost per lead.

  • Booking rate, close rate and revenue per £1 for each source
  • Duplicates and out-of-area leads flagged so you can claim them back
  • Data checks that list every problem row to fix in your CRM

Something for the team, too

Each rep and call centre agent gets a private page with their own figures and coaching points, so "how am I doing?" has an answer. When you run an incentive, a live league goes on their phones and the office TV.

  • Personal pages show only that person's figures
  • The league is optional, switched on for each incentive you run

Your data stays yours

I work with other businesses in your sector, so every client's figures are kept completely separate.

In your own account

Everything is built in your Google account and runs under your own admin login. You keep it, and it keeps working without me.

Customer details removed

Reviews use an export with customer names, addresses, phone numbers, emails and notes taken out before it's sent.

Never shared

Your figures are never shared with, or used for, any other business, and copies are deleted when the work is done.

Questions

Which CRMs does it work with?

Any CRM that can export a spreadsheet of your leads, which is nearly all of them. Out of the box you paste in a fresh export, which takes a couple of minutes. Where your CRM has an API or a scheduled export, an automatic refresh can be added, priced separately. The free setup check tells you which applies to you.

Do we have to change how we work?

Usually not. The reports are built around the systems you already use. The one exception is if survey results aren't recorded anywhere reliable; then the first step is a simple results sheet your team fills in as they go.

Our results live in a shared diary, not the CRM. Is that a problem?

It's common, and it's fine. The setup check works out what's recorded where, a results sheet fills the gap from now on, and past months can be added from your existing reports or filled in lead by lead if you want the detail.

Who can see our data?

Only you and the people you choose. Everything is built in your own Google account. Reviews start from an export with customer names, addresses, phone numbers, emails and notes removed, and your figures are never shared with or used for any other business.

What happens if you're not around?

It keeps working without me. You own your copy, it runs under your own company's Google login, every figure comes from ordinary spreadsheet formulas anyone can check, and there's a written guide inside the workbook. Support is optional, not a lock-in.

We don't use Google. Can we still use it?

Yes. It runs in a free Google account set up for your business, with two of your own people as admins. You don't need to move your email or anything else.

How long does it take?

The setup check is a 45-minute call. A data review comes back within about a week of receiving your export. A full build is live within three weeks of getting your export and access, and the date goes in writing before we start.

About

I'm Evan Shields, and Vanzio is my business, based in Scotland.

I ran sales operations for a Scottish solar installer: a large team of reps and a busy call centre, with reporting that went to the sales, marketing and operations directors. Nothing off the shelf matched how an installer actually works, so I built that reporting from scratch.

Vanzio is the same approach, rebuilt cleanly so other businesses can have it without building it themselves. It works with any CRM that can export a spreadsheet, and with the diaries and diallers you already use.
